Data may be collected in various ways - normally by email, contact form or if you phone/text us.

We may obtain information about you when you use our website, for example, when you contact us about services offered, when you fill out a New Client Enrolment Form, or if you register to receive one of our newsletters.

Personal information collected might include your name, address, email address, IP address, phone number and information regarding what pages are accessed and when. Medical history, DOB, diagnosis, treatment information, and other relevant health related information is also collected if you fill in the New Client Enrolment Form. This data is collected and stored to ensure our services and exercises are suitable for you. It is securely stored with robust password protection encryption using GDPR compliant Google Drive.

What we do with your information

We require this personal information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • To understand your individual requirements (for example, post injury/ postnatally) so we can accommodate and customise movements accordingly. Our aim is to provide a tailored and personal service.

  • Internal record keeping.

  • Keep you up to date with class times/class changes and services

  • We may periodically send promotional emails about new services/classes, special offers or other information we think you may find interesting using the contact information you have provided.

  • From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, text. We may use the information to customise our services according to your interests.

Will my data be shared with any third parties?

 

Rest assured, that we’re committed to ensuring that your information is secure and will never, ever sell or rent your information to third parties or share your information with third parties for marketing purposes. 

There may be circumstances during any business relationship where there is a need to share information. This will only be done with your explicit permission and only for as long as is necessary. One example of this may include when another Body Control Teacher is covering the Pilates class and relevant information may need to be shared for both parties benefit.

3rd party tools are used as part of our day-to-day business which may mean that your information will pass through their systems. Below is a list of these tools along with a link to their GDPR compliance statement (where applicable);

 

  • Gmail is our email provider

  • Wix hosts our website. The website is secured by an SSL certificate and sensitive information is processed to PCI standards

  • Enrolment forms and Covid Questionnaire forms are stored on  password protected Google Forms

We’re committed to ensuring that your information is secure. In operating our website it may become necessary to transfer data that we collect from you to locations outside of the European Union for processing and storing. By providing your personal data to us, you agree to this transfer, storing or processing. We do our upmost to ensure that all reasonable steps are taken to make sure that your data is treated stored securely.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Whilst you are an active client (coming to classes/having 1:1s etc), we will continue to use and refer to your personal data. To ensure we comply with professional, legal and insurance requirements, we retain the right to  hold on to your personal data for up to 7 years from your last contact with us/when you stop attending classes/sessions/1:1’s.

As we process your personal data, you have certain rights. These  are a right of access, a right of rectification, a right of erasure and a right to restrict processing. 

  • You may request a copy of your data at any time. Please make such a request in writing or by email to the Data Controller, whose details are shown above. Please provide the following information: your name, address, telephone number, email address and details of the information you require.

  • If you believe any of the personal data we hold on you is inaccurate or incomplete, please contact us directly and any necessary corrections to your data will be made without undue delay.  

  • If you believe we should erase your data, please contact the Data Controller, details above.

  • Where you have provided explicit consent for us to use your data you have a right to withdraw this consent at any time.

In the unlikely event that your personal data is compromised - lost, stolen or otherwise breached, where this constitutes a high risk to your rights and freedoms, we will promptly contact you. The data controller will explain the details of the breach and steps being taken to resolve.
